Welcome to Inside Impact! As an independent training and consultancy company, we are committed to protecting your privacy and ensuring that your personal data is handled in compliance with the UK General Data Protection Regulation (GDPR). This privacy notice explains the purposes of our research, how your data will be collected and used, and your rights regarding your personal data.

Purpose of the Research

Inside Impact is conducting research to support Croydon Mencap to develop a new strategy for their charity which will commence in 2025. Croydon Mencap is a charity based in Croydon that supports people with learning disabilities and their carers to lead fulfilling lives. The data collected will help us understand what need exists in Croydon for people with learning disabilities and their carers, what difference Croydon Mencap is best at making, and what people's perceptions of Croydon Mencap are.

Data gathered through this project might also be used to help Croydon Mencap implement its new strategy, for example as evidence in funding bids, for impact reporting, for marketing or as learning for other organisations about how best to support people with learning disabilities and their carers. Inside Impact will be creating both internal documents for Croydon Mencap staff and trustees alongside some publicly available reports and information.

Both organisations act as data controllers for the purposes of processing your personal data in this project.

Data Collection and Use

  1. Data Collection: We will collect data using Microsoft Forms, Notion, paper-based forms, WhatsApp, in-person focus groups and interviews, and online focus groups and interviews. The information collected may include:
    1. Personal Information: Name, age group, location, contact details.
    2. Sensitive Information ('special categories'): Health data or information related to disabilities (only when necessary for this project and with your explicit consent).
    3. Feedback and Opinions: Responses to surveys, interviews, and other forms of engagement.
  2. Identification: The data may not always be anonymous to Inside Impact, meaning we will know your identity. If Croydon Mencap collect your data, it may not be anonymous to them either. However, where Inside Impact collects data and it is not necessary for Croydon Mencap to know, we will anonymise data before we pass it on. We will not share your data with third parties without your explicit consent unless required by law.
  3. Use: Your data will be used for the following purposes:
    1. To understand the needs and experiences of people with learning disabilities and their carers.
    2. To evaluate the effectiveness of Croydon Mencap’s current services.
    3. To develop a strategy that improves services and outcomes for our community.
    4. To identify gaps in services and areas for improvement.

Lawful Basis for Processing Your Data

We process your data under the following lawful bases:

  • Consent: When you explicitly agree to share your data with us for this project.
  • Legitimate Interest: For Croydon Mencap to evaluate and improve its services in line with its mission.

You can withdraw your consent at any time by contacting us using the details below.

Data Retention

  • Inside Impact: We will retain your identifiable data until one year after the end of the project. This is in case Croydon Mencap require us to do any follow up work, particularly to support strategy implementation.
  • Croydon Mencap: Data will be retained by Croydon Mencap for ten years after the end of the project to facilitate long-term impact analysis and reporting.

Your Rights

Under UK GDPR, you have the following rights regarding your personal data:

  • Access: You can request access to the personal data we hold about you.
  • Correction: You can request corrections to any inaccurate or incomplete data.
  • Deletion: You can request the deletion of your personal data, subject to certain conditions.
  • Objection: You can object to the processing of your personal data under certain circumstances.
  • Restriction: You can request a restriction on the processing of your personal data in specific situations.
  • Data Portability: You can request the transfer of your data to another organization in a structured, commonly used, and machine-readable format.
